Going to a trade show can be a daunting experience, so EQUITANA Melbourne have answered some of the most important questions for prospective exhibitors.

1.  Who comes to the event?

• EQUITANA Melbourne looks to have over 50,000 attendances over the four days of the event.
• Over 80% of our attendees are female, with a majority aged between 30-50 years of age.
• Most attendees come from rural areas and over 50% of them either own or rent farmland.
• Almost 84% own one horse or more with a majority classifying themself as hobby riders.
• Almost every attendee owned an animal of some kind.
• Almost 60% of all attendees said that shopping and finding out about new products were the main reason they came to EQUITANA Australia events.

2.  Why should I exhibit?

There are many reasons for a company to include themselves in events such as EQUITANA Melbourne which provide such direct access to huge numbers of a specific target market.

3. Do we get to choose our own site?

Yes, floor plans will be sent out to each prospective exhibitor as requested and they can elect their preferred site.  Exhibitors will be contacted if the site is unavailable. Floor plans will be updated weekly to indicate sold sites.

4.  What is included in my site?

All sites under 36sqm are sold as 'shell schemes', which include the following:

• 2.4m high Velcro adhesive walling
• Fascia with your company name
• Two spotlights mounted on the light track inside the fascia
• One 4amp power point per stand
• Flooring made up of 1m x 1m carpet tiles

All sites 36sqm and over are sold as 'space only', which include the following:

• One 4amp power point per stand
• Flooring made up of 1m x 1m carpet tiles

5.  Do we get passes to the event included?

Yes, each site will include a numberof Exhibitor Badges in the price of the stand. The number is relative to the site size, starting with three badges for a 3m x 3m site. Exhibitor Badges do not allow entrance into any seperately ticketed events such as evening programs and specialist clinics.

6.  Can we purchase extra badges?

Yes, extra Exhibitor Badges are available for sale for a set price. Exhibitors can purchase as many as they see necessary for their staffing levels. The form for extra badges will be located in the Exhibitor Manual.

7.  Do we get a listing in any sort of program?

Yes, each contraced Exhibitor will receive the following listings

• EQUITANA Melbourne Official Website Exhibitor Listing - at time of receipt of deposit
• EQUITANA Melbourne Official Event Program Exhibitor Listing - over 150,000 copied printed
• EQUITANA Melbourne Smart/Iphone App Exhibitor Listing - free for the public to download

8.  What are the Opening Hours of the Exhibition?

EQUITANA Melbourne will be open to the public at 9:00am daily and the Exhibition will close at 6:00pm from Thursday to Saturday. On the final day (Sunday), the Exhibition will close at 4:00pm.  Each stand must be manned and open during all these times. These are long days, so please prepare your staff!

• Thursday 15th November  -  9:00am to 6:00pm
• Friday 16th November      -  9:00am to 6:00pm
• Saturday 17th November  -  9:00am to 6:00pm
• Sunday 18th November    -  9:00am to 6:00pm

9.  Is there an afternoon break?

Yes, there is a designated afternoon break which means that the Education Program and Indoor Competition Programs cease for one hour. This means a perfect time for Exhibitors to maximise their sales in the middle of the day.

10.  When do we pay?

A 30% non-refundable deposit must be paid no more than three days after the contract has been received. The entire exhibition fee must be paid at least ten (10) days prior to the bump in date.

11.  Can two companies share a site?

12.  Where can we stay?

Camping is not allowed at the Melbourne Showgrounds during the event. Event Travel, an EQUITANA Melbourne partner, can work with Exhibitors to find accommodation at a range of prices. EQUITANA Melbourne suggests booking accommodation as soon as your site is confirmed to avoid disappointment.

13.  Where do we park?

Exhibitors can park at the venue for AUD$5.00 per day per vehicle, to be paid at the gate.

14.  Do I need insurance?

Each Exhibitor should have Public Liability Insurance for the event. EQUITANA Melbourne is not liable for any claims, losses, suits, damages, judgements, expenses, costs or charges applicable to an Exhibitors stand.

15.  Can I cancel my site in need be?

Yes, Exhibitors can cancel their site up to one month prior to Bump In of the event and receive back all monies paid with the exception of their 30% non-refundable deposit. If the cancellation is one month or less prior to the Bump In of the event, the Exhibitor is not entitled to any refund of monies paid.

16.  When can I set up (Bump In)?

Bump In is generally the day prior to the start of the event.  Larger sites (over 36sqm) will Bump In a day earlier than smaller sites.  Greater details on specific times will be given in the Exhibitor Manual.

17.  When can I leave (Bump Out)?

Exhibitors can start Bumping Out as soon as the EQUITANA precinct is cleared of general public and is classified safe to begin.  Greater detail on specific times will be given in the Exhibitor Manual.

18.  Can I also sponsor other elements of the event?

Yes! Many exhibitors are also our valued sponsors in order to make the most of this exciting event. 19.  How can I book a site?

After you have selected a preferred site, simply download the Exhibition Application Forms, fill in the appropriate form and email it back to This e-mail address is being protected from spambots. You need JavaScript enabled to view it .  You will receive confirmation of your request and asked to direct deposit your  30% of the stand total for the non-refundable deposit.  Once the deposit is received, you will receive confirmation of your booking.

20.  Will I receive more information after booking?

Yes, each contraced Exhibitor will receive an Exhibitors Manual in the mail prior to the event.  This will run through all elements of the event, as well as a number of forms which will need to be returned.  Exhibitors will also receive monthly updates and tips on exhibiting through an Exhibitor E-Newsletter.
